AP Process Management
The Client:
The client is a leading back-office processing company, specializing in Finance and Accounts Payable processes. It manages the business processes to high standards for the client while saving substantial cost for them.
The Challenge:
The client was a pioneer in the Accounts Payable (AP) process-outsourcing field. It was using a generic workflow system to fulfill the processing tasks.
The client faced the following challenges:
  • Limited functionality of workflow tool: The generic workflow tool could not handle validations and exceptions resulting in limited client benefit.
  • Lack of Scalability: Any new client/project additions resulted in large amount of customization or configuration of the system. As a result it was difficult for the client to scale rapidly to add new clients/projects.
  • Lack of Flexibility: Any changes to process or function of the existing clients required multiple changes to the system. Resulting in a high cost for even the simplest modifications.
  • Inefficient data capture: Lack of integration of the tool led to low data-capture efficiencies and low data accuracy which are integral parts of the client’s business.
  • High licensing cost: The generic tool had user based licensing which was prohibitively expensive to the clients business. Adding new clients or users directly impacted the cost of business.
The Solution:
TIS worked with the client’s process experts to define the requirements and architect an effective solution. TIS chose an appropriate technology platform to address the challenges faced by the client.
Solution Highlights:
Dynamic configuration system: The solution allowed easy definition of various workflow's. As a result it became trivial to add new clients/projects to the system. The new system resulted in 80% time saving for adding a new client.
Validation and exception handling: The domain expertise of TIS professionals allowed them to capture client pain areas and build a comprehensive system that incorporated required validations and exceptions.
Integrated solution: The new system allowed higher efficiency for data capture by providing a single screen for all data capture activities. Inbuilt validations reduced human errors in the data capture process leading to higher data accuracy.
EDI (Electronic Data Interchange) solution: For the clients with high transaction volumes, EDI schemas can be defined to pull the data electronically from the source and upload into the AP system avoiding data entry. Thus leading to lower data capture cost, higher accuracy and efficiency.
MIS Reporting: TIS provided an integrated reporting solution on AP data. The client could provide business specific information to their clients based on AP data. For example the client can look at net outstanding and aging analysis reports among others.
Benefits:
Lower cost of ownership as client can scale up without increasing the application licensing cost. Higher efficiency in data capture with better accuracy resulted in higher client satisfaction and lower operating costs. MIS reporting resulted in higher value added services to their clients.
